Medical Secretary – Burns Trauma and Rehabilitation Service

Key Responsibilities

  • Sorting and distribution of incoming mail (electronic and paper)
  • Addressing urgent matters promptly, reporting problems to senior staff
  • Tidying and checking letters and materials from visits and clinics
  • Booking clinic appointments on HIVE and relaying details to patients
  • Updating team on urgent referrals and scheduling Outreach Team visits
  • Arranging meetings and managing diaries for the Outreach Team and clinicians
  • Composing routine and standard letters
  • Performing routine clerical duties
  • Liaising with Multidisciplinary Team (MDT) for appropriate outcomes
  • Demonstrating procedures to new staff and ensuring adequate office cover
  • Handling telephone enquiries professionally and promptly
  • Monitoring and maintaining registers and IBID database
  • Transcription and typing of relevant documents
  • Undertaking other tasks as requested by the Trauma and Rehab team
  • Assisting with induction and training of new staff, complying with Data Protection Act and Caldicott guidelines
  • Actively participating in department audits

Skills and Expertise

  • Excellent IT skills
  • Excellent communication skills
  • Experience in a busy office environment (NHS experience preferred)
  • Ability to work independently
  • Proven secretarial/administrative skills
  • Sound working knowledge of IT systems, particularly HIVE
  • Strong interpersonal skills
  • Knowledge of Data Protection Act and Caldicott guidelines
