Workstream Administrator – Liverpool, St Helens & Warrington

Key Responsibilities

  • Oversee the control, organization, distribution, and filing of project documentation (contracts, RFIs, submittals, drawings, reports, meeting minutes).
  • Ensure timely and organized filing of project documents using Procore construction management software.
  • Maintain accurate document version control and revisions.
  • Implement document control procedures for stakeholder approvals.
  • Manage document distribution between internal teams and stakeholders.
  • Keep all parties updated on project information (distributing and tracking RFIs, submittals, and drawings).
  • Ensure documentation complies with regulatory requirements, project specifications, and quality standards.
  • Conduct audits to ensure consistency and accuracy of records and historical documentation archiving.
  • Champion and lead the Procore software system, managing setup, configuration, and user permissions.
  • Maintain project templates, workflows, and other tools within Procore.
  • Provide onboarding, training, and ongoing support to project teams, subcontractors, and stakeholders on Procore.
  • Resolve Procore-related issues and troubleshoot system problems.
  • Generate and distribute reports from Procore to enhance project performance.
  • Act as the main point of contact for drawings and document control issues.
  • Ensure all relevant information is recorded and retained in HMS central document management systems.
  • Support project teams in planning stages.
  • Compile O&M manuals at site handover.
  • Support site teams in identifying value improvement areas.
  • Demonstrate commercial awareness to ensure best practice and commercial results.
  • Deliver periodic written reports to various audiences (managers, directors).
  • Attend meetings, take minutes, and distribute actions to stakeholders.
  • Perform other duties consistent with the role.

Skills and Expertise

  • Continuing professional development experience.
  • Data management skills in Microsoft packages.
  • Experience with Power BI.
  • Experience in document control and project administration.
  • Experience with Procore or similar construction management platforms.
  • Experience in a Construction/Maintenance Contracting environment.
  • Advanced technical, numerical, and analytical skills.
  • Proven organizational skills and attention to detail.
  • Experience in writing operational reports for various audiences.
  • Full UK or EU driving license.
  • Strong Microsoft Office suite experience.
