Staffing Coordinator – Potters Bar Clinic
Key Responsibilities
- Ensure all staff (including Bank) hours are accurately reflected on timesheets and daily allocation sheets.
- Accurately record sickness, annual leave, and additional hours.
- Ensure gaps in the rota are covered.
- Maintain accurate records of staff details.
- Assist manager with payroll input and collation of additional, bank, and agency hours.
- Ensure the Rota is accurately reflected on daily allocation sheets.
- Accurately record changes to the Rota, allocations, timesheets, and Annual Leave Database.
- Provide staffing and allocation data templates to managers within deadlines.
- Ensure gaps in the Rota are covered using service parameters.
- Book additional hours, bank, and agency staff to meet service needs.
- Maintain accurate record-keeping of daily unit staffing and staff availability.
- Confidentially maintain and update accurate staff records (including agency staff).
- Maintain up-to-date records of agency staff profiles, training, professional registration, and DBS.
- Ensure all staff booked for shifts comply with training and registration requirements.
- File staff records, general correspondence, and perform general office duties (e.g., photocopying, faxing).
- Attend scheduled meetings as appropriate, and participate in administrative team meetings.
- Maintain good communication with managers, providing accurate records of booked and cancelled shifts.
- Produce data reports for managers to monitor staffing resources and support monitoring, governance, and operations.
Skills and Expertise
- Experience with data entry and producing data reports.
- Excellent attention to detail.
- Excellent communication skills (verbal and written).
- Ability to work to tight deadlines.
- Good organisational skills.
- Strong time management skills.
- Knowledge and use of Microsoft packages (Word, Excel, Outlook, etc.).
- O Level/GCSE or equivalent, including English.
- Good knowledge of English grammar, spelling, and punctuation.
- Initiative and ability to manage workload to meet deadlines.
- Ability to work under pressure and meet tight deadlines.
- Flexibility and reliability.
- Teamwork skills.
- Willingness to undertake personal development and/or further training.
