Day Hospital Administrator
Key Responsibilities
- Providing outstanding reception service to patients and visitors.
- Handling all inquiries professionally and courteously, escalating concerns/complaints.
- Liaising with external agencies (other departments, GP surgeries, community services).
- Communicating with confused, aggressive, or wandering patients.
- Building strong working relationships with colleagues, clinical staff, and senior management.
- Using electronic dictation software for clinical letters.
- Providing basic IT support to clinical teams.
- Making sound decisions regarding appointment cancellations/rebookings adhering to Trust Policy.
- Ensuring accurate and timely data entry.
- Responding appropriately to emergency situations for patient wellbeing.
- Processing referrals using hospital systems (Image Now, e-Referral Service).
- Booking patient appointments and ensuring RTT deadlines are met.
- Admitting and discharging patients using hospital systems.
- Booking and coordinating hospital transport for patients.
- Electronically transferring/locating patient notes using CRT system.
- Uploading patient notes and correspondence to EPR.
- Ensuring case notes are maintained per Trust Policy.
- Adhering to Trust Infection Control policies.
- Following Trust Guidelines regarding violence and aggression.
- Undertaking word processing and data input using Word and Excel.
- Supporting the Admin Lead in producing statistics using charts and graphs.
- Involvement in patient first and service development projects.
- Understanding NHS cost pressures and ensuring careful stock ordering.
- Ordering stationary and ensuring sufficient stock.
- Assisting with new staff orientation and cascade training.
- Demonstrating Trust filling system to new staff.
- Requesting and ensuring availability of medical records for staff.
- Recording patient clinic attendance, admission, and discharge information.
- Ensuring e-Camis is accurate and matches other hospital systems.
- Responsible for appropriate computerised transfer of notes on duty.
- Emailing confidential information accurately and providing sufficient labels.
- Undertaking surveys and audits (e.g., staff survey).
- Working within Trust policies and upholding Trust values.
- Organising own work and taking initiative regarding problems/enquiries.
- Dealing with patients and colleagues on the phone and face-to-face.
- Lifting patient notes adhering to Trust Manual Handling Policy.
- Working Saturdays on a rota basis.
- Completing any other appropriate duties.
- Maintaining cleanliness and tidiness of the department and its equipment.
- Coping with interruptions while completing tasks.

- Excellent communication skills (written and verbal).

- Proficient with computer systems and software.

- Keyboard skills for accurate data input.
- Familiarity with hospital procedures and policies.
