Attendance Officer – Gloucestershire

Key Responsibilities

  • Day-to-day management of school registers (SIMS).
  • Ensuring accurate and timely register maintenance, collaborating with year teams.
  • Recording attendance, lateness, authorised and unauthorised absence, supporting school policies.
  • Processing absence line messages and emails.
  • Developing strategies to improve staff registration completion.
  • Implementing school systems, procedures, and policies related to attendance and punctuality.
  • Following up on unexplained absences with parents/carers.
  • Contacting parents regarding attendance and truancy, building positive relationships.
  • Responding to parent queries about attendance.
  • Administering daily attendance reports for Heads of Year/Assistant Heads of Year.
  • Producing attendance reports, following up on unauthorised absences.
  • Creating weekly attendance/lateness reports in SIMS.
  • Recording authorised/unauthorised absence requests in SIMS.
  • Collaborating with Pastoral teams and Educational Welfare Officer to minimise absences.
  • Producing termly attendance and absence statistics, contributing to government returns.
  • Liaising with Senior Leaders, Heads of Year, SENDCo, Educational Welfare Officer, regarding students of concern.
  • Printing hard copies of registers for emergencies.
  • Willingness to undertake other tasks requested by the Senior Leadership Team.
  • Managing own workload effectively.

Skills and Expertise

  • GCSE or equivalent, including at least a Grade C in English and maths.
  • Experience working in a school or educational setting.
  • Experience working directly with pupils and parents.
  • Experience working collaboratively with colleagues.
  • Experience analyzing data, producing reports, and identifying key insights.
  • Excellent listening skills.
  • Effective written and verbal communication skills.
  • Proficiency with IT systems and data analysis.
  • Strong knowledge of Excel.
  • Ability to build positive relationships with pupils, staff, and parents.
  • Organized, proactive, and self-motivated.
  • Strong time management skills.
  • Commitment to upholding and promoting school ethos and values.
  • Ability to work under pressure and prioritize effectively.
