PA/Medical Secretary – Oncology Department
Key Responsibilities
- Liaise with consultants to provide full secretarial service, including administrative duties and mail management (prioritization and actioning).
- Disseminate correspondence/documentation (confidential).
- Type clinical correspondence, treatment summaries, and annotations, meeting turnaround targets and office instructions.
- Organize and schedule meetings, maintain appointment diary.
- Monitor clinic templates, liaising with clinical and admin staff to manage clinic numbers, escalating to management when needed.
- Liaise with staff (internal/external), answering written/verbal enquiries; acting on matters without reference.
- Answer patient/relative enquiries, referring to consultants when necessary.
- Handle stressful/sensitive phone calls from relatives/patients.
- Liaise with internal/external departments for clinical investigations/procedures.
- Liaise with patients involved in trials, coordinating information between patients, hospital, and organizing bodies.
- Input patient details into databases (Careflow), use case note tracking system.
- Receive new patient referrals, organize appointments/admissions, and arrange treatments.
- Manage waiting lists, focusing on two-week wait category patients.
- Coordinate annual leave to ensure clinics are managed effectively and nursing staff are allocated appropriately.
- Contribute to staff training.
- Ensure case notes are up to date and all investigations/material are available for appointments.
- Provide information for litigation cases.
- Provide statistical information to the Information Department.
- Collaborate with clinicians, managers, and admin staff to review practices, identify improvements, and solve problems.
- Improve quality/range of services by managing resources according to policies and priorities.
- Ensure multi-disciplinary meeting information is available.
Skills and Expertise
- Experience in audio typing and copy typing.
- Healthcare/Medical Secretarial experience.
- Knowledge of medical terminology.
- Knowledge of cancer pathways/targets (beneficial).
- Excellent communication skills (written and verbal).
- Strong organizational skills.
- Ability to work under pressure and meet deadlines.
- Proficient in using relevant software.
