Key Responsibilities

  • Deal promptly with customer enquiries and requests for information.
  • Administer the efficient processing of RTB/RTA sales applications up to completion, including calculation of discount entitlement. Use NAFN software to check eligibility. Liaise with relevant teams for Cost Floor and other information.
  • Process Buyback requests (RTB and RTA) and liaise with relevant Torus teams.
  • Handle all aspects of leasehold management, acting as the main contact.
  • Provide an effective arrears recovery service for leaseholders, Shared Owners, Outright Leaseholders, Outright Freeholders, and Rent to Buy tenants. Take enforcement action (NISPs, MCOL, PCOL) and attend Court hearings.
  • Assess eligibility and qualifying applicants (Rent to Buy and shared ownership).
  • Provide property management service for Rent to Buy tenants (viewings, sign up, deposits, payments, inventories, Section 21s, marketing, referencing, affordability).
  • Administer Rent Guarantee schemes and assist with scheme appraisal.
  • Provide property management service for Shared Owners (viewings, accounts, sign up).
  • Manage Re-Sales and Staircasing applications, scheme inspections.
  • Ensure void properties (Rent to Buy) are inspected, secured, and handed over.
  • Represent the Leasehold Team at new build site meetings.
  • Achieve agreed targets for handover of properties.
  • Liaise with relevant teams regarding defect reporting on new build schemes.
  • Attend the First Tier Tribunal as required.
  • Liaise with colleagues on major works and long-term qualifying agreements.
  • Ensure correct service charge application after major works.
  • Work with Torus Finance Team to ensure statutory requirements are met and accurate service charge estimates and year-end statements.
  • Liaise with Managing Agents regarding estate fees, Ground Rent, and management issues.
  • Process applications requiring consent under the lease.
  • Act on lease breaches requiring enforcement action.
  • Undertake training and attend meetings as required.
  • Provide assistance in all areas of Leasehold Services, including staff training.
  • Operate locally based computer systems.
  • Attend best practice forums.
  • Undertake any additional duties.

Skills and Expertise

  • Proven experience in leasehold management
  • Proficient in housing-related IT systems
  • Demonstrated experience in arrears management and debt recovery
  • Strong numerical and analytical skills
  • In-depth knowledge of Right to Buy and Right to Acquire processes
  • Exceptional organizational and time management skills
  • Track record of meeting performance targets
  • Capable of working independently and prioritizing tasks
  • Collaborative team player with excellent interpersonal skills
  • Experienced in engaging with the public professionally
  • Valid driving licence
